SUMMARY:

Performs all admisinistrative duties as it pertains to the Housing Department

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Take housing reports from tenants, complete work orders and forward them to the maintenance department; record all calls into Appfolio and follow up for completion

Prepare rent payment deposits in Appfolio to be forwarded to accounting; code all electronic deposits for accounting

Help potential tenants fill out rental application, answer their questions

Process applications and background checks, show units

Prepare new rental contracts

Housing inspections and violation compliance inspections

Prepare, mail and file violation notices to tenants and follow up on compliance issues

Prepare monthly cash flow reports and send to accounting

Mail out monthly statements and prepare late notices

Reconcile aging reports

Input new tenant information into database and maintain the information for record keeping

Organize events and services for Tenants

File documents daily for Director of Housing and Commercial Operations

Utilize postage meter to mail packages and letters

Perform all other duties as directed by the

Director of Housing and Commercial Operations or Management

QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE:

Must have a high school diploma or equivalent; must have at least 2 years experience as an assistant

SKILLS and ABILITIES:

Must have a good understanding of general office procedures and practices; must be able to read and comprehend instructions; must be fluent in English and Spanish to communicate with supervisor, coworkers, and tenants; must be able to follow instructions; must be able to accept responsibility for the action and results and follows through on commitments and deadlines; must be able to keep work area and files organized; must be able to compartmentalize tasks

PERSONAL TRAITS:

Must be able to follow directions from a supervisor; interact with coworkers and other company employees; must be able to understand and follow posted work rules and procedures; must maintain a good attendance and punctuality record; must be able to accept constructive criticism

REASONING ABILITY:
