The main function of the Administrative Assistant is to process all financial activity in a timely manner to ensure accurate financial information relative to the operation of a successful business. Below is a list of functions necessary to achieve that goal:

Work Hours:

This is a dayshift position, Monday - Friday, from 8:00 AM - 4:30 PM.

Daily Duties:

Turn on computers (reception first, office second)

Check and respond to emails

Open/distribute mail

Sort incoming bin

Enter purchase orders

Enter work orders

Process customer billing

Match and enter vendor invoices

Deposit any customer payments

Weekly Duties:

Go to FedEx and UPS web sites and print weekly invoices

Collect and approve employee timecards

Process Payroll checks

Process A/P checks

Pay weekly payroll taxes

Monthly Duties:

ISNet Site Tracker

Amerisafe W/S Premium Worksheet

Charles Schwab 401 K Profit Sharing (Monthly and Weekly)

Pay Local Taxes

Audit Open Work Order Folder

Pay Sales /Use Tax

Reconcile Bank Statement

Produce Month End Financial Statements

Quarterly Duties:

Quarterly Payroll Taxes

Audit A/P Stand (Unfilled Purchase Orders/Packing Slips)

Yearly Duties:

Payroll Tax Reconciliations/W-2

Vendor 1099 Forms (01/31)

Payroll Allowed Hours (01/01)

Williamsport BPT Tax (04/15)

Calendar Mailing List (06/15)

Miscellaneous Duties:

Order Supplies (Office and Shipping Supplies)

New Hire Set-Up

Create Employee Package

Set-Up Pre-Employment Drug and Alcohol Test

Send Request for Background Check

Pull L&L Clothing (Hat, T-Shirt, Sweatshirts, Gloves)

Fulfill Customer Request for W-9 Information

Fill-Out Credit Applications for New Vendors

Renew/Update Government Registrations (Sam, SBA

Mail Out Calendars, Christmas Cards, Promotional Items

Acquire Certificates of Insurance/Bid Bonds Upon Request

Insurance Audits

Update/Maintain Postage Meter

Report Injuries-Work Compensation Claims

Maintain OSHA Log

Research Sales/Inventory Request

Customer A/P Filing

Assist Office Personnel Upon Request

Qualifications:

Qualified candidate will be required to have a valid driver's PA license to make daily banking deposits.

At least 1-year of experience preferred.
