Position Overview

We are seeking a highly organized detail-oriented Administrative Assistant to provide comprehensive support to our advisory team and ensure efficient daily operations. The ideal candidate will demonstrate strong technical proficiency, exceptional organizational skills, and prior experience in office administration, preferably within financial services. This role requires a proactive self-starter with excellent communication abilities and a commitment to delivering superior client service.

Key Responsibilities

Serve as the primary point of contact for clients, managing calls and inquiries with enthusiasm, professionalism and courtesy.

Process routine service requests, including account transactions, new account applications, and general account maintenance.

Track and resolve pending business items promptly to ensure timely completion.

Coordinate and confirm client appointments, preparing meeting materials and reports for advisor review.

Maintain accurate and compliant client records in both digital and physical formats.

Utilize Microsoft Office Suite, Microsoft Teams, and Redtail CRM for calendar management, record keeping, and communication.

Navigate internal platforms to access account data and resources efficiently.

Qualifications

Prior administrative experience, preferably in financial services.

Ability to work independently, manage multiple priorities, and meet deadlines.

Professional demeanor with a client-focused mindset.

Exceptional written and verbal communication skills, including professional phone etiquette.

Strong computer proficiency, including Microsoft Office (Word, Excel, PowerPoint) and accurate data entry skills.
