Qualifications: Minimum Education/Certification:

Bachelor's degree in accounting or closely related field from an accredited college or university recognized by the US Department of Education.

Major Responsibilities and Duties: Accounting and Financial Reporting

Oversee standardized District-wide operational forms and processing guidelines for maintaining campus/departmental historical data are being followed.

Maintain complete and systematic records of the Districts activity fund financial transactions.

Work as a primary contact for the campus and department bookkeepers/accountants to facilitate all financial transactions.

Train designated campus and department bookkeepers/accountants on District financial procedures and processes, as aligned with the Financial Services Resource Manual (FSRM) and the FASRG related to campus and department funds. Prepare materials for training as assigned. Present training materials, as assigned, to staff in a financial role in order to facilitate continuous improvement regarding fiscal management and use of the Districts financial system.

Schedule and facilitate the Semi-Annual Finance Workshops, monthly Lunch and Learn, and monthly financial New Hire/Refresher Training as assigned by the Campus and Department Support Coordinator (CADS).

Assist in maintaining and updating the Financial Services Resource Manual (FSRM) and the CADS website.

Create and maintain a database of questions and training issues to be addressed by the Financial Services Division.

At the direction of the CADS Coordinator, work with the Budget Accountant to ensure that activity fund budgets are established in accordance with legal and local policy.

Assist campus and department personnel by reviewing and/or preparing budgets and budget amendments for activity funds as defined by the Budget Director and the Director of Accounting when needed.

Prepare journal vouchers as needed for coding corrections.

Facilitate all refunds, compliance expense, and direct payment in lieu of purchase order (PO) requests in the MUNIS and other related systems.

Review for negative budget variances monthly for funds such as 461, 465, and 865.

Work with Financial Systems Analyst to test, approve, or recommend any enhancements or patches to the Districts financial system as it relates to the activity funds and general ledger modules that would lead to more efficient and effective processes.

Analyze and review the monthly account analysis fee for the centralized activity funds.

Review and reconcile the sales tax records received from campuses and departments.

Process orders of deposit slips for campuses with bank and prepare the journal entry.

Prepare and enter journal entries for change fund orders requested by the campus and department bookkeepers/accountants.

Assist with entering requisitions where split coding is needed as received on POs once converted and verified with campus(es)/departments.

Facilitate meetings of the District bookkeeping mentors.

Assist with essential duties for campus bookkeepers/accountants who are out of the office for an extended time.
