NY1537972 Administrative Office Assistant needed for the Herkimer County Industrial Development Agency in Herkimer, NY.

Pay rate is $45,000 - $55,000 per year.

Responsibilities: Answer phones Greet visitors Monitor supplies and place orders accordingly Create, maintain, and enter information into databases Operate office equipment (copier, fax, phone) Track ABO training for board members and staff Prepare meeting minutes, record action items, and file complete meeting packet Prepare for Board of Directors Meetings request quorum, notice to paper, prepare entire packet except financial section, distribute meeting notice, agenda, and board packet accordingly Maintain all virtual meeting platforms, schedule virtual meetings, as needed. Schedule appointments and meetings via Goldmine Participate in training sessions and webinars at the discretion of the Chief Executive Officer Daily use of Microsoft Office (Word, Excel, Power Point, and Publisher), Goldmine Attend and record notes at public meetings Process incoming and outgoing mail daily, including scanning documents and copying checks Maintain company insurance files Make bank deposits, send documents via USPS Maintain Project/Policies/Procedures/all documents on Agency website Assist Operations Manager in maintaining project files Other projects as assigned Confidentiality and accuracy is a must

Financial: A working knowledge of QuickBooks Reconcile Bank Accounts Monthly Prepare Invoices and track receipt of annual administration fees Assist with accounts payable by inputting bills, printing checks, and prepare checks to mail Required Knowledge, Skills & Abilities: Knowledge Clerical Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology. English Language Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Customer and Personal ServiceKnowledge of principles and processes for providing customer and personal service.

Minimum Qualifications: Associates Degree and/or 2 to 4 years experience in an office setting Salary commensurate with experience Must be self-motivated, have good organizational skills, be detail-oriented, with the ability to prioritize, multi-task, and meet deadlines
