Description

Provide administrative support for the Dean, faculty, and student organizations in support of the mission of the University. This position may also provided administrative support to other functional areas of campus, as needed.

Supervision Received:

Reports directly to the Dean of the School of Business.

Supervision Exercised:

May supervise work study students.

Essential Duties & Responsibilities:

Following customer service guidelines, ensure the welcome of all visitors (Heidelberg faculty/staff, students, outside visitors) to the Dean's Suite. Greet and inquire as to the purpose of the visit and make visitors comfortable. Support and assist as appropriate.

Act as a liaison with other key offices on campus (ex: Admissions, Registrar, Facilities, Academic Affairs, Library, Bookstore, etc.)

Administrative Support Duties including: answer phones and emails, providing information to current and prospective students, school partners, alumni, and other parties.

Update the Dean's calendar and make appointments as appropriate.

Support faculty by maintaining accurate student files, assisting with photocopying etc.

Provide timely and accurate minutes of school meetings.

Organize special events as appropriate including mailing and receiving acknowledgements, arrange for parking and catering as needed.

Support faculty with logistics for on-, and off-campus events and programs

Create and maintain accurate databases for school enrollment, progression records (alumni and current), and email distribution lists.

Assign and manage undergraduate student advising lists.

Provide support for HSB leadership in collaboration with other Administrative Assistants.

Support Dean for academic year program scheduling, advising needs/questions, registration issues, and special room reservations for semester.

Monitors program budgets ensuring invoices, purchase orders, and reimbursements are processed in a timely fashion, and making budget transfers as necessary.

Provide support and serve as a primary point of contact for the Berg Business Board.

Accreditation Support (ACBSP) by supporting the Dean to compile and maintain materials for required documentation/reports per accreditation guidelines.

Education and Professional Experience:

Associates Degree.
