Service Operations & Administrative Assistant

GRIPS Inc. is an industrial and commercial HVAC company built on professionalism, accountability, and taking care of both customers and employees. We are looking for a highly organized, dependable person to become the operational backbone of our service department.

This role keeps technicians moving, customers informed, inventory flowing, and the office running smoothly every day.

What You'll Do

Answer and route incoming calls professionally

Schedule and dispatch service technicians

Maintain job status and documentation in BuildOps

Generate, review, and approve customer invoicing

Create purchase orders and process receiving

Track inventory, check in deliveries, and maintain stock levels

Coordinate ETA updates with vendors and customers

Maintain fleet service schedules, mileage logs, and renewals

Manage warranty submissions and documentation

Schedule preventative maintenance visits

Provide customer updates and support

Maintain organized administrative workflows that keep operations efficient

Ability to communicate clearly with technicians, vendors, and customers
