Temporary Administrative Assistant (3-Month Assignment)

Schedule: Mondays and Fridays only to start (potential to increase to 3 days/week) Hours: 10:00 AM - 5:00 PM Start Date: Monday, November 24, 2025 Reason for Opening: Current Administrative Assistant will begin maternity leave on Nov 24.

Position Overview:

Christies International Real Estate - First Coast is seeking a professional, personable Administrative Assistant to support daily office operations during a maternity leave period. This role is ideal for someone who is organized, reliable, and comfortable working in a front-facing environment within a luxury real estate setting.

Key Responsibilities:

Greet visitors, clients, and agents with a friendly, polished demeanor

Answer and route incoming phone calls with a pleasant and professional phone presence

Manage basic administrative tasks such as scheduling, data entry, email communication, and light office upkeep

Assist with simple marketing tasks depending on experience (social posts, basic materials, etc.)

Support agents as needed with digital files, communication, and office coordination

Send and respond to text messages professionally as part of regular communication

Update or maintain spreadsheets, documents, and digital files

Light assistance with property marketing and branding materials (if experienced in Canva or similar platforms)

Required Skills and Qualifications:

Strong social skills; able to interact comfortably with high-end clientele, agents, and walk-ins

Professional communication habits both in person and through text/email

Dependable, punctual, and able to work independently on slow office days

Basic computer proficiency and willingness to learn new tools

Preferred Experience (Not required but a MAJOR plus):

Google Workspace proficiency (Docs, Gmail, Drive, Calendar)

Google Sheets BIG PLUS

Canva BIG PLUS, especially for marketing flyers or simple design tasks

Previous real estate, office admin, or marketing experience

Comfort assisting with social media or marketing tasks

Dress Code:

Professional attire appropriate for a luxury real estate environment

Clean, polished appearance

No jeans, leggings, or casual wear
