RECEPTIONIST/ADMINISTRATIVE ASSISTANT

Job Summary:

We are seeking a friendly and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing excellent customer service while efficiently handling a variety of administrative tasks. This role requires a proactive, detail-oriented individual with strong communication skills and a professional demeanor.

Key Responsibilities:

Reception Duties:

o Greet and welcome visitors in a warm and friendly manner.

o Answer, screen, and forward incoming calls while providing basic information when needed.

o Maintain the reception area to ensure it is tidy and presentable.

o Manage visitor sign-in processes and issue visitor badges as required.

Administrative Support:

o Handle incoming and outgoing mail and packages, including sorting and distribution.

o Manage scheduling and appointments, coordinating meeting rooms and resources as necessary.

o Perform data entry, filing, and other clerical duties to support the team.

o Maintain office supplies inventory by checking stock and placing orders when necessary.

o Assist with document preparation, including letters, memos, and presentations.

Communication:

o Act as a liaison between the company and clients, customers, and vendors.

o Respond to emails, phone calls, and other forms of communication promptly and professionally.

o Assist with the planning and execution of company events, meetings, and presentations.

Other Duties:

o Assist various departments with projects and administrative tasks as required.

o Perform other duties as assigned to support the overall efficiency of the office.

Qualifications:

High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.

Proven work experience as a Receptionist, Front Office Representative, or similar role.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).

Excellent communication and interpersonal skills.

Strong organizational and time-management abilities.

Ability to handle sensitive information with discretion.
