Job Description:

Key Responsibilities:

Administrative Support: Provide comprehensive administrative support to ensure the efficient operation of the office. This includes handling phone calls, managing correspondence, and welcoming visitors in a professional manner.

Document Management: Organize and maintain both electronic and paper files, ensuring that important documents are easily accessible. This includes filing, scanning, copying, and archiving records as needed.

Data Entry: Accurately input data into company databases and systems, ensuring the integrity and confidentiality of the information. This involves updating records and producing reports as required.

Scheduling and Coordination: Assist in scheduling appointments, meetings, and events, ensuring proper coordination and communication. Prepare meeting materials and take minutes during meetings as necessary.

Office Supplies Management: Monitor and maintain inventory of office supplies. Responsible for ordering new supplies as needed and ensuring the office is always stocked with necessary materials.

Customer Interaction: Provide excellent customer service by addressing inquiries and resolving complaints in a timely and courteous manner.

Support to Teams: Collaborate with different departments to provide support as needed, including assisting with special projects, preparing documents, and coordinating team activities.

Financial Record Keeping: Assist with basic bookkeeping tasks such as processing invoices, tracking expenses, and reconciling receipts against records.

Qualifications:

A high school diploma or equivalent; additional qualifications or certifications in office administration are a plus.

Proven experience in a clerical or administrative role is preferred.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office equipment.

Strong organizational skills with attention to detail and the ability to multitask effectively.
