JOB SUMMARY:

Under the direction of the Administrative Assistant to the President, the Secretary serves as the main receptionist for the Executive Office. The incumbent transcribes material by typing correspondence, documents and records, and assists as assigned to support the Executive Offices functions and projects.

ESSENTIAL JOB FUNCTIONS:

Screens telephone calls to assist callers and refer to appropriate person or department.

Greets visitors and directs them to appropriate staff/officer.

Produces letters, correspondence, and related documents.

Assists with proofreading correspondence including convention and conference agendas.

Assists with the maintenance of statewide committee data, including maintaining Unionware and spreadsheet databases, sending committee appointment letters and filing all committee related documents.

Sorts, dates, distributes, tracks and files President's mail.

Provides event details and follows up with staff assigned to sponsored events.

Maintains the sponsorship database.

Assists in preparation of in-person department meetings.

Assists with packing materials needed for workshops, conventions, and trainings.

Provides back-up support for incoming departmental mail.

Provides administrative support to the Travel & Meetings/Conventions departments.

Incumbent must be aware of the discretion required in handling confidential information.

Performs related duties as assigned.

MINIMUM QUALIFICATIONS:

High School Diploma or Equivalency. Ability to @type 30 words per minute and good grammar and spelling skills. Proficiency in the Microsoft suite of office software.

AND

Two years of experience in clerical or secretarial field.

A satisfactory combination of education and experience as determined by CSEA.

Must successfully complete appropriate tests administered by the Human Resources Department.

Note: Advancement to the next grade level upon completion of two years of satisfactory performance as determined by Department Head.
