Buildings and Grounds Administrative Assistant

QUALIFICATIONS:

Physical:

Is physically able to work in a standing position for prolonged periods. Is able to work in warm surroundings.

REPORTS TO:

Buildings and Grounds Director or designee

SUPERVISES:

N/A

JOB SUMMARY:

Maintains the Clear Creek Amana School facilities and grounds.

TERMS OF EMPLOYMENT:

Terms and conditions as established by the Board of Education.

JOB RESPONSIBILITIES

SPECIFIC DUTIES:

Reviews and updates timesheet information for accuracy and completeness.

Review and update work order status and costs.

Assists with coordinating subs for custodians/building engineers as necessary

Assist with the review and cost analysis of supply purchasing

Update and document required yearly staff trainings per district standards

Review facilities usage calendar for proper information

Coordinate facilities usage door schedules and gathers information conforming to district policies

Acts as public point of contact for all facilities use requests

Review and document work orders for SU reimbursement

Gathers and processes roof leak information

Assist Buildings and Grounds director with district energy monitoring and record keeping

Perform filing and record keeping of district construction projects

Tracks and assigns proper coding to P Card purchases. Will keep the department updated on changes and requirements as outlined by the District Office.

Enters and tracks purchase orders

Tracks, schedules and maintains records for district inspections as assigned by the Buildings and Grounds Department

Will work in conjunction with the District Business Office to keep track reporting of PPEL, SAVE and project budgets in a timely and efficient manner..

Assist with OandM asset inventory and maintenance tracking. Responsible for the entry of data into district tracking software.

Assist with ensuring pesticide applicator licensing is kept up to date.

Assist with creating presentations/ gathering information for OandM board meeting topics

Submit requisitions for new job postings as requested.

Will act as the distributor of information for the Buildings and Grounds department.

Clerical tasks as assigned.

Identifies and will act as the point of contact for office updates and supply needs.

Schedule and coordinate department training that would require travel or overnight accommodations.

Will assist with the coordination of project timelines. Keeping up to date with the Chief Financial Officer on dates and notice timelines to ensure accuracy and project compliance.

Performs background checks and creates identification badges for contractor employees.

Must be able to work independently given the nature of the flexibility required within the Buildings and Grounds department.

Regular and prompt attendance.

May be assigned other related duties in addition to those listed in the job description.
