Job Description Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office workflows. Bilingual skills in English and Spanish are required, as the position may require assisting diverse clients and staff. The successful candidate will play a vital role in maintaining an efficient and professional office environment.

Duties:

-Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy

-Perform data entry, filing, and document proofreading to ensure accuracy and organization

-Utilize Microsoft Office Suite and other office management software for various administrative tasks

-Schedule appointments

-Handle bookkeeping tasks using QuickBooks or similar accounting software

-Support customer service efforts by addressing inquiries promptly and professionally

-Provide clerical support including typing, document preparation, and record keeping

-Maintain excellent phone etiquette when communicating with clients, vendors, and team members

-Support personal assistant tasks as needed to facilitate executive or team member needs

Qualifications:

-Proven experience in office administration, clerical work, or related roles

-Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and data entry skills

-Familiarity with QuickBooks, bookkeeping, and office management software preferred

-Excellent organizational skills with the ability to multitask effectively in a fast-paced environment

-Exceptional communication skills both written and verbal; bilingual abilities in English and Spanish are required

-Demonstrated customer service experience with professional phone etiquette

-Ability to manage time efficiently and prioritize tasks effectively

-Previous experience with auto insurance claim creation and management is desirable but not required

Requirements:

-Willing to work Monday-Friday 8am-5pm. Saturday's may be needed from 9am-1pm

-Bilingual in English and Spanish are required

-Valid driver's license and work authorization documentation to work in the US

-At least 3 years of valid administrative assistant work experience

-Candidates must have a strong track record of consistent, reliable attendance and punctuality
