Administrative Assistant / Family Case Manager

Children and Family Institute is seeking a dependable, organized, and service-minded professional to support both administrative operations and family case management services.

This hybrid role provides administrative support to the office while also assisting families with intake, documentation, follow-up, service coordination, and connection to appropriate resources and programs.

Key Responsibilities:

Provide administrative support including scheduling, correspondence, filing, data entry, and document preparation.

Serve as a point of contact for clients, families, staff, and community partners.

Assist with client intake, eligibility documentation, case records, and ongoing follow-up.

Maintain accurate and confidential client and program records.

Help coordinate services and connect families to appropriate resources and CFI programs.

Support case management activities, including tracking progress, appointments, referrals, and required documentation.

Complete required billing documentation and billing-related tasks in accordance with program requirements, similar to Family Case Manager responsibilities.

Conduct community outreach to promote CFI programs, build relationships, generate referrals, and connect families with available services.

Participate in community events, outreach activities, and partnership-building efforts as assigned.

Assist with office operations, meetings, reports, and general administrative needs.

Communicate professionally with families and provide timely follow-up regarding services.

Maintain compliance with organizational policies, confidentiality requirements, billing requirements, and applicable program standards.

Support program goals, service delivery, and other operational needs as assigned.

Qualifications:

High school diploma or equivalent required; associate or bachelors degree in Human Services, Social Services, Business Administration, or a related field preferred.

Previous administrative, case management, social services, or client-support experience preferred.

Strong organization, communication, and follow-up skills.

Ability to manage multiple priorities and maintain accurate records.

Proficiency with Microsoft Office, Google Workspace, and database or case management systems.

Ability to maintain confidentiality and work professionally with children, families, and staff.

Must be dependable, detail-oriented, and comfortable working in a fast-paced environment.
