Administrative Assistant Real Estate

About the Role

**We are seeking a highly organized and detail-oriented Administrative Assistant to support our fast-paced real estate office. This role is essential to maintaining accurate listings, supporting agents, and ensuring smooth daily operations.

Key Responsibilities

Listing Management

Enter and maintain listings in MLS and internal systems

Audit files for accuracy, compliance, and completeness (e.g., Skyslope)

Coordinate with agents, managers, and office staff

Set up and manage showing services (e.g., ShowingTime)

Office Operations

Answer multi-line phones, route calls, and take messages

Greet and assist agents, clients, and vendors

Maintain daily office operations and organization

Manage office supplies, signage, and inventory

Handle incoming and outgoing mail and packages

Agent & Staff Support

Provide basic technical support for systems, email, and tools

Marketing & Communications

Create marketing materials (flyers, social media posts) using Canva and similar tools

Coordinate property tours and open houses

Maintain consistent communication with agents and team members

Administrative Support

Maintain internal systems (accounting and marketing platforms)

Organize and manage digital and physical files

What Were Looking For

Administrative experience (real estate preferred)

Strong organizational and multitasking abilities

High attention to detail and accuracy

Clear, professional communication skills

Proficiency with Microsoft Office and Google Workspace (MLS/Skyslope a plus)

Ability to prioritize and manage multiple tasks in a fast-paced environment
