Position Summary

The Part-Time Finance Clerk supports the Finance Director and leadership team by performing essential day-to-day accounting, payroll, and financial administration functions. This role ensures the accurate processing of financial transactions, maintenance of financial and employee records, and timely preparation of routine reports that support sound financial stewardship and organizational compliance.

This position plays a critical support role in maintaining financial accuracy, donor trust, and operational integrity in a fast-paced nonprofit environment.

Key Responsibilities

Accounting & Financial Operations

Accurately record and process donations, payments, and financial transactions using DonorPerfect and QuickBooks (or comparable accounting systems).

Process Accounts Payable, including vendor invoices, expense reimbursements, and payment runs, ensuring proper documentation and approvals.

Assist with payroll processing, including data entry, verification, and coordination with payroll systems or providers.

Maintain accurate and up-to-date records in:

General Ledger

Accounts Payable

Accounts Receivable

Payroll records

Perform routine account reconciliations, including bank and credit card statements.

Reporting & Documentation

Prepare weekly financial summaries and internal finance reports for leadership review.

Assist with month-end close activities and the preparation of financial reports for the Board of Directors.

Maintain organized digital and physical financial files in accordance with internal controls and record-retention requirements.

Human Resources & Personnel Records (Administrative Support)

Maintain accurate and confidential employee personnel files, including onboarding and compliance documentation.

Process new hire paperwork, including tax forms, benefit enrollment forms, and required employment documentation.

Assist with maintaining insurance records, including workers' compensation documentation and related filings.

Office & Administrative Support

Support daily financial office operations, including processing incoming mail related to finance, payroll, and donations.

Communicate professionally with vendors, donors, staff, and external partners regarding routine financial inquiries.

Assist the Business Manager with special projects, audits, or reporting needs as assigned

Other Duties

Duties and responsibilities may be added, modified, or reassigned, verbally or in writing at the discretion of Carriage Town Ministries leadership to meet organizational needs.
