The Accounting Specialist is responsible for handling the accounts payable (AP) and accounts receivable (AR) functions, as well as assisting with various accounting tasks such as payroll, personnel records keeping, etc.

Review, validate, and process all vendor invoices in accordance with

company policies and contracts.

Prepare and process payments to vendors, ensuring accurate and

timely settlement of outstanding obligations.

Perform monthly reconciliations of vendor statements and resolve

discrepancies or issues in a timely manner.

Maintain AP aging reports and monitor payment schedules to ensure no

late fees are incurred.

Respond to vendor inquiries and resolve any payment issues or

disputes effectively.

Ensure that AP processes comply with internal controls, company

policies, and regulatory requirements.

Prepare and issue customer invoices, ensuring accurate billing based

on contracts and services rendered.

Monitor and follow up on outstanding receivables, ensuring timely

payments from customers through calls, emails, or other communications.

Reconcile AR accounts, ensuring all payments are properly recorded

and discrepancies are resolved.

Maintain AR aging reports, track overdue accounts, and assist in

creating collections reports and forecasts.

Record AP and AR journal entries to ensure accurate general ledger

balances.

Assist in month-end closing procedures, including reconciling AP and

AR balances and preparing reports for management.

Provide support for the preparation of financial statements, cash

flow reports, and other financial documents.

Meet with new staff members to complete W-4 or W-9 and I-9 Forms,

explain benefits and deductions, assist with wage verification documents, etc.
