Position Summary

Capital Orthopedic Surgery Center is seeking a detail-oriented and compassionate Surgery Scheduler to join our team. In this key front office healthcare position, you will manage all aspects of surgical scheduling, including patient registration, insurance verification, medical chart preparation, coordination of pre-operative testing, and communication of patient financial responsibilities.

This role requires strong administrative skills, exceptional customer service, and knowledge of medical office operations. The ideal candidate will be experienced in healthcare scheduling, familiar with electronic health records (EHR), and thrive in a fast-paced clinical environment.

KEY RESPONSIBILITIES:

Surgical Scheduling & Coordination

Schedule outpatient surgical procedures in collaboration with surgeons, anesthesiologists, and OR staff.

Confirm surgery times and locations with patients and providers.

Reschedule surgeries due to cancellations or emergencies as needed.

Manage pre-op testing result (labs, imaging, EKG, etc.).

Patient Registration & Check-In

Update patient demographics, medical history, and emergency contacts.

Ensure completion of all pre-operative forms and consent documents.

Insurance Verification & Authorization

Verify patient insurance coverage prior to scheduling procedures.

Obtain pre-authorizations and verify eligibility, benefits, and coverage limits.

Communicate insurance and out-of-pocket cost information to patients.

Patient Financial Counseling

Explain co-pays, deductibles, and other financial responsibilities related to surgery.

Collect payments on the date of service and assist with setting up payment plans.

Accurately enter billing information into the system and coordinate with the billing team.

Medical Chart & Records Management

Create and maintain complete and accurate surgical charts.

Scan documents into the EHR, including lab results, imaging, and signed consents.

Ensure all required documentation is accessible for the surgical team.

Customer Service & Front Desk Support

Greet patients and visitors warmly and professionally.

Answer phones, direct calls, and respond to patient inquiries.

Communicate pre- and post-op instructions clearly to patients.

QUALIFICATION:

Education & Experience

High school diploma or GED required.

Minimum 2 years' experience in a healthcare setting (clinic, hospital, surgery center).

At least 1 year of experience with surgery scheduling or medical front office tasks preferred.

Knowledge of insurance verification, authorization, and medical billing processes preferred.

Skills & Competencies

Proficiency in Electronic Health Records (EHR) and scheduling software (e.g., Epic, Cerner, Allscripts).

Strong understanding of medical terminology and HIPAA compliance.

Excellent communication and customer service skills.

Ability to multitask, prioritize, and remain calm in high-pressure environments.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).
