Job Summary

We are seeking a detail-oriented and proactive Administrative Assistant to provide vital support to the General Manager and team members. This role ensures efficient office operations by managing administrative tasks, fostering positive interactions, and maintaining professional communication.

Key Responsibilities

Office Administration: Perform administrative duties such as filing, preparing reports and presentations, scheduling meetings, and maintaining office supplies.

Meeting & Schedule Management: Coordinate company meetings, schedule appointments, and prevent conflicts.

Data entry: Input of daily AP and AR documents.

Communication Management: Screen incoming calls, direct inquiries appropriately, and maintain professional communication via phone, email, and mail.

Data & Documentation: Prepare weekly and monthly reports, transcribe meeting minutes, create presentations, and conduct research as needed.

Visitor Support: Welcome and assist office visitors, ensuring a professional and friendly experience.

Employee Onboarding: Assist with new employee orientations when required.

Qualifications & Skills

High school diploma required; Business School or College degree preferred.

Excellent organizational and multitasking skills.

1-3 years of experience in office administration preferred.

Familiarity with basic financial tasks, including processing payments, receipts, and data entry.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and online operational systems.

Experience with bookkeeping systems is a plus.

Excellent verbal and written communication skills.

Ability to work independently and collaboratively while maintaining strong professional relationships.
