Accounts Payable Administrative Assistant

Location:

Hastings, NE

Pay:

$18.50 - $20.00 per hour (based on education and experience)

Schedule:

12-Month Position | Monday - Friday | 7:30 AM - 4:30 PM

Job Summary

We are seeking a detail-oriented and reliable Accounts Payable Administrative Assistant to join our client's team. This position plays a key role in supporting administrators and ensuring smooth day-to-day operations. Key Responsibilities

Manage and maintain administrators schedules and calendars

Prepare invoices, reports, memos, letters, financial statements and other documents using word processing, spreadsheet and database software

Read and analyze incoming memos, submissions and reports to determine significance and plan distribution

Open, sort, and distribute incoming correspondence including emails and faxes

File and retrieve school documents, records and reports

Greet visitors and determine appropriate access

Prepare responses to routine inquiries and correspondence

Perform general office duties including ordering supplies, maintaining records management systems and basic bookkeeping

Prepare agendas and make arrangements for committee, board and other meetings

Make travel arrangements for administrators

Compile, transcribe and distribute meeting minutes

Supervise and train other clerical staff as needed

Maintain confidentiality and adhere to all District policies and professional ethics

Qualifications

Education:

High school diploma or GED required

Strong organizational and time-management skills

Excellent written and verbal communication abilities

Proficiency with Microsoft Office (Word, Excel, PowerPoint) and other office software

Reliable attendance and ability to handle sensitive information discreetly
