Accounting & Administrative Associate

Reports to: Executive Director Salary Range: $45,000--$55,000

Position Overview: The Accounting & Administrative Coordinator supports the Align Center for Workforce Development by maintaining accurate financial records and ensuring efficient daily operations. This position manages accounts payable and receivable, assists with grant and contract compliance, and provides administrative and logistical support to the organization. The ideal candidate is detail-oriented, organized, and thrives in a collaborative environment where financial accuracy and operational efficiency are equally valued.

Key Responsibilities: Accounting & Financial Management

Process accounts payable and receivable transactions.

Reconcile bank and credit card accounts monthly.

Prepare financial reports and support grant reporting.

Maintain budgets, invoices, and payment records.

Contracts & Grants

Assist in the preparation and tracking of vendor and partner contracts.

Monitor grant expenditures and deliverables.

Ensure compliance with reporting and documentation requirements.

Administrative & Office Support

Maintain financial and organizational records and databases.

Provide scheduling and logistical support for meetings and events.

Oversee office supplies, equipment, and vendor coordination.

Support correspondence, document preparation, and data entry.

Qualifications:

Associate's degree in Accounting, Business, or related field (bachelor's preferred).

1--3 years of accounting or bookkeeping experience.

Proficiency in QuickBooks and Microsoft Office Suite.

Strong attention to detail and organizational skills.

Ability to manage confidential information with discretion.

Physical Demands:

Remain seated for extended periods while performing job duties.

Occasionally walk short distances within the office or to attend meetings.

Occasionally lift or carry items weighing up to 15--20 pounds (e.g., files, office supplies, or small equipment).

Work Environment:

Work is normally performed indoors in a professional office environment.

The role involves a high level of computer and desk-based work.

The noise level in the office environment is usually moderate.
