About the Role

AHA Consulting Engineers is looking for a detail-driven Document & Office Coordinator to join our team with regular support to our Alpharetta, GA office. This is a hands-on, on-site role where your precision and organizational skills directly support the quality of work we deliver to clients. If you take pride in producing polished, accurate documents and want to grow your career within a collaborative engineering environment, this role offers real mentorship and a clear path into project administration, proposal management, or office leadership.

Format and produce trade specifications and project documents using established firm templates and detailed instructions - this is the core of the role and requires a sharp eye and consistent accuracy.

Build out client proposals and related documents in the correct company format, working closely with project teams.

Coordinate vendor lunch logistics: ordering, confirming details with vendors, on-site setup, and breakdown.

Manage office and kitchen supply ordering and inventory for Burlington and Boston offices.

Keep common areas, meeting spaces, and kitchen organized and well-stocked.

Provide general administrative support across both offices.

Position Qualifications (Required)

Prior administrative, document production, legal secretary, or office support experience.

Strong Microsoft Word skills and ability to follow precise formatting instructions - this is essential.

Reliable, organized, and takes ownership of recurring tasks without being reminded.

Professional communicator, comfortable with vendors, employees, and visitors.

Must be available on-site in Burlington; occasional support to Boston office.

Position Qualifications (Preferred)

Proficiency in Microsoft Office Suite, especially Word and Outlook.

Experience in a professional office environment - engineering, legal, architecture, or similar.

Familiarity with construction, engineering, or technical documents (we will train the right person).
